Role Purpose
The Operational Sourcer (Associate Consultant) will support Strategic Sourcers in the execution of complex and strategic sourcing deals while independently managing simple, low-complexity sourcing requests. The role is focused on operational excellence, timely execution, stakeholder coordination, supplier follow-up, documentation support and compliance with client and internal procurement processes.
Tasks and Responsibilities
- Support Strategic Sourcers in executing strategic and higher-complexity sourcing deals, including preparation of sourcing documents, supplier communication, follow-ups, bid consolidation and project administration. Assist in running RFI, RFP, RFQ and eAuction activities, including creating and managing events in the applicable e-sourcing tools
- Independently execute simple and low-complexity sourcing requests such as spot buys, renewals, single-source requests, contract extensions and low-risk RFx activities in line with defined processes.
- Coordinate with internal stakeholders, client stakeholders, suppliers, contract managers, risk teams, legal teams and procurement operations teams to ensure timely progression of sourcing requests.
- Support end-to-end sourcing activities within Indirect Spend categories, primarily in the Professional Services and BPO category, including consulting, personnel services, audit, tax, outsourcing and other related services.
- Prepare and maintain sourcing documentation, including supplier lists, RFx templates, commercial comparison sheets, savings inputs, award recommendations, meeting notes, approvals and project closure documentation.
- Support analysis of supplier proposals, summarize commercial outcomes and assist Strategic Sourcers in preparing recommendations for stakeholder review.
- Support contract drafting using client standard templates and coordinate contract review, approvals, signature follow-ups and document uploads as per defined procedures.
- Ensure adherence to client policies, internal procurement standards, sourcing tools, approval workflows, risk requirements and compliance procedures.
- Monitor project milestones, follow up on pending actions, update sourcing systems accurately and escalate delays or blockers in a timely manner.
- Contribute to KPI and SLA achievement by ensuring timely project execution, accurate data maintenance, clear communication and proactive stakeholder follow-up.
- Identify opportunities to improve business-as-usual processes, reduce cycle time, improve documentation quality and enhance operational efficiency.
Requirements
- University degree in Business Administration, Finance, Economics, Supply Chain Management or equal (bachelor’s degree).
- 3+ years of experience in Sourcing Operations, Procurement Operations, Tactical Sourcing, Contract Administration or Indirect Procurement Support.
- Good understanding of Source-to-Contract and Procure-to-Pay processes, including sourcing intake, RFx execution, supplier evaluation, contract coordination and project closure.
- Experience in supporting or executing tenders such as RFI, RFP, RFQ, spot buy, single source or renewal activities.
- Exposure to indirect procurement categories; experience in Professional Services, BPO, Consulting, Personnel Services, Audit or Tax services will be an advantage.
- Basic understanding of commercial negotiations, supplier communication, proposal analysis and contract documentation.
- Ability to manage multiple sourcing requests, follow defined processes, maintain accurate documentation and meet agreed timelines.
- Good analytical skills with the ability to prepare comparisons, summarize supplier responses and highlight key commercial points.
- Strong interpersonal and communication skills with a customer-service mindset and ability to coordinate across multiple stakeholders.
- Good written and verbal English communication skills.
- Proficiency in Microsoft Office, especially Excel, PowerPoint, Word and Outlook.
