Role Purpose

The Executive Assistant to the Regional CEO serves as a strategic partner responsible for maximizing executive effectiveness, efficiency, and impact. This role requires exceptional organizational capability, business judgment, discretion, and the ability to anticipate needs in a fast-paced, high-visibility environment.

 

The ideal candidate operates with professionalism and executive presence while managing complex priorities, communications, and logistics with precision. This position plays a critical role in supporting leadership initiatives, coordinating executive operations, and enabling the CEO to focus on strategic priorities.

 

 

Tasks and Responsibilities:         

 

Executive Support & Leadership Coordination

  • Manage the CEO’s workflow, priorities, and commitments to ensure effectiveness.
  • Provide proactive, strategic calendar management aligned with business priorities and leadership objectives.
  • Anticipate scheduling conflicts and resolve issues independently.
  • Coordinate and manage multiple executive task lists and ensure timely completion.
  • Coordinate internal and external meetings, including leadership meetings, client interactions, and executive sessions.
  • Prepare meeting agendas, presentations, briefing materials, and supporting documentation.
  • Attend meetings as requested, capture detailed notes, document action items, and track follow-through.
  • Plan and coordinate complex domestic and international travel itineraries including flights, accommodations, ground transportation, and contingency planning.
  • Manage travel changes and ensure seamless logistics.
  • Process executive expense reports in compliance with company policies.
  • Coordinate executive-related purchases and approvals as needed.

 

Communication & Relationship Management

  • Serve as a liaison between the CEO and internal/external stakeholders across all levels of the organization.
  • Draft and edit communications, presentations, and correspondence on behalf of CEO.
  • Maintain strong relationships with key partners to facilitate collaboration and alignment.
  • Deliver a high-touch, professional experience for executive interactions.
  • Support special projects and initiatives led by the CEO.
  • Create, maintain, and edit documents, spreadsheets, and presentations with high accuracy and professionalism.
  • Conduct light research and prepare executive briefings as needed.
  • Identify opportunities to improve workflows, processes, and productivity tools.
  • Handle highly sensitive and confidential information with discretion.
  • Exercise strong business judgment in prioritization and decision support.

Requirements:

Education & Experience

  • Bachelor’s degree preferred or equivalent professional experience.
  • 5+ years of experience supporting senior executives (C-suite or sr leadership preferred).
  • Experience in professional services, corporate, or fast-paced environments
