Head Business Management - Manager


This position is a key supporting role in leading the Strategy Office for CIQ Romania, with a high level of responsibility and impact. This position will primarily work with the Country Head and SSC Leadership Team, and also serves as a liaison to the Group COO and senior management teams.

The Head of Business Management must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and people oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Business Management role will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.


Your main responsibilities:


  • Prepare SSC leadership team meetings & strategy meetings (preparation, agenda, minutes, hand-outs), attend the meeting and see to follow-up work, complete, coordinate and monitor pending matters
  • Participate in internal meetings on behalf of the SSC Head
  • Support in managing the Chain IQ RO / SSC day-to-day business
  • Support the execution of the Chain IQ Strategy 2025, including the implementation of the new Target Operating Model
  • Provide administrative and communications support to the Country Head; supervision, coaching and development to other members of the local administrative staff; organizational and project support
  • Reliably prepare, edit and maintain correspondence, communications, presentations and other documents for the SSC Head
  • Assist with the development and execution of strong employee communications and events
  • Create input for the SSC newsletter and intranet page
  • Provide information for reports and records through research, data retrieval, compiling and/or tabulating statistics, and organizing and presenting the information in useable and understandable formats such as Excel and PowerPoint
  • Provide supervision and coaching to the Administrative Assistant(s) and ensure smooth operation of the Bucharest office and efficient running of administrative functions, helps to improve company procedures and day-to-day operation
  • Monitor and coordinate various office management tasks, including personnel matters as People Year cycle and other sensitive, discreet or confidential tasks, as assigned by the Country Head
  • Conducting interviews together with the SSC/ Country Head
  • Oversee special projects
  • Organize and coordinates external relations, as needed


Your profile:

  • A Bachelor’s degree or equivalent combination of education and experience
  • Previous experience in a senior administrative position
  • Excellent oral and written communication skills, including presentation preparation
  • Strong business acumen and understanding of operational issues
  • Extremely detailed oriented
  • Proven ability to effectively prioritize workflow
  • Excellent interpersonal, written and oral English communication skills
  • Ability to exercise good judgement, show initiative and be proactive
  • Ability to work independently, use initiative, and make decisions quickly in confidential, organized, and detailed manner
  • High standards of ethics and confidentiality to handle sensitive information
  • Superior PC skills i.e. Word, Excel, Power Point and MS Outlook
  • Procurement / Supply chain expertise is a plus
